Import Commodities and Services

 

Use any one of six major Commodities and Services Classification Systems (UNSPSC, NAICS, SIC, FSC, NIGP or the Texas Code) to standardize your commodity classifications.  You can tailor an existing coding system to your agency's needs or add additional codes unique to your agency.  If you prefer, you can create your own unique coding system with up to eight coding levels.

 

 

 

Import Vendors

 

You can “import” your vendors into APSWin or you can enter your vendor information one vendor at a time.

 

 

 

Vendor Maintenance

 

You can maintain three separate addresses for each vendor (primary address, bid solicitation address, and purchase order address).  You may specify which commodities and/or services each vendor supplies at any time.  There are also five user-defined fields that can appear on labels and reports and a 65,000 character “notes” field for each vendor.  With a single mouse click on the related graphic, you can access email or vendor web sites for communications and price comparisons.

 

 

 

Vendor Commodities & Services

 

You can associate goods and services with the vendors that supply those goods and services.  You can then quickly produce bid lists and address labels to be used for bid solicitations.

 

 

 

Categories and Regions

 

User-defined categories and regions can be used to define and record any information you may require for your vendors.  You can establish categories for your vendors such as minority business, business size, etc.  You can also establish regions for your vendors such as northeast region, local metro area, five county area, etc.  You can use categories and regions to select vendors for mailing labels and reference lists.

 

 

 

Select Vendors

 

In addition to selecting all vendors on the system, you can also select vendors using the Create Selection command.  This command allows you to select vendors on the basis of the categories you set up when you entered your agency's information, by regions, by commodity and service code(s), or by vendor number or name.  These selections may be reviewed, saved, edited, printed, and used to send email to selected vendors.

 

 

 

Commodities and Services Reports

 

Commodities and Services reports include the Commodity Book (detail by code number), Commodities and Services List (summary by code number), Product and Service Classification (a turnaround document used for vendor registration), and an Alphabetical Listing.  You can print all items, select a range of items (either by code number or alpha keyword), or select one or more specific items from the master list.

 

 

 

Vendor Reports

 

Vendor reports can be printed with or without commodities and services descriptions.  You can print all vendors; identify a range of vendors, print from a selection file, or select specific vendors from the master vendor file.  You can sort by Vendor Number, Name, Federal Employer Identification Number, or Alternate ID.

 

 

 

Mailing Labels

 

You can print reference lists for your file copy of vendors who received Bid Solicitations.  Mailing labels can be printed 1-up or 2-up, etc.  You can use the predefined label formats that come with the system or use the label designer to add your own label formats.

 

 

 

Printing Options

 

You can print to the printer or to a file.  For example, you can save large reports to a printer file (complete with all the special printer codes for the selected printer) and then have that file sent to the printer later, perhaps at a time when printer traffic is lighter.  You can “print” labels to a preformatted HTML file.  You can even save mailing lists as a CSV (comma-delimited) file, and then merge with your word processor or import to your spreadsheet or database program.

APSWin includes System Maintenance options, which let you perform system-wide maintenance functions.

The minimum required equipment for the single-user version of the APSWin Vendor Management module is as follows:

 

 

NOTE: Some advanced features also require electronic mail and Internet access.

 

 

Support

 

Toll-free Off-Site-Support (OSS) for 60 days is included with a new purchase or upgrade from a prior APS version.  After 60 days, annual support agreements are available and include toll-free OSS from 8:00 a.m. to 5:00 p.m., CST/CDT Monday through Friday (except holidays).  OSS customers are entitled to all problem corrections reported by other users while the support agreement is in effect.
